This is how we handle the data you provide when you use our website.
The purpose of this policy is to clarify how we manage your data and what you can do if you want your information deleted.
When signing up for a short course or event, we collect standard personal data such as name, address, email, phone number, nationality, and date of birth in order to register you for the course.
If you are asked to provide your social security number, it is due to legal requirements that allow the school to apply for funding for the course and enable the Ministry of Culture and the Danish Palaces and Culture Agency to verify that you are not registered at multiple schools at the same time.
Payment is handled by Bambora Online A/S. They will only receive the information you provide in connection with the payment.
The same applies here as for Short Courses and Events, except for the payment part, as there is no online payment at the time of registration.
On our registration form, you must state that you give us permission to store sensitive personal data, such as health information and faith-related information. We ask for this information in order to make your stay as good as possible. (See our deletion policy further down.)
Your data will be treated confidentially. If stored in paper form, it will be kept in locked cabinets. Only employees with a strict need have access to your personal data and files. This also applies to the server where our website is hosted.
Course registration is done in KOMIT, our bookkeeping and student registration system. Your data will be stored in a database. All data is located on an internal server at the school, which only essential employees can access. In addition, a secure backup is stored on a protected server via our partner KOMIT. Standard security protocols, including encryption, are used.
As a school, we receive information from Bambora Online A/S. This information becomes part of the order confirmation, which is printed and stored for shipping and as documentation of your course enrollment.
In connection with our application for state support, your basic personal data and social security number will be shared with the Danish Palaces and Culture Agency, which oversees the Danish Folk High School sector. Our auditor may also access your basic personal data in order to carry out the required audit.
Our website’s webmaster is located outside the EEA (European Economic Area). He accesses the server for our website in Denmark via a secure connection. This means that data may be transferred to third countries. However, we have signed the necessary data processing agreements, and we continuously ensure that he holds the required certifications, for example those recognized by the European Commission, such as Privacy Shield certification.
Unless otherwise stated in our personal data policy, we will retain the information for the current year plus an additional five years. According to the Accounting Act, we are required to keep the information for that period.
For short courses and events, all your data on our website server will be deleted after the course ends. A printed copy will be stored and then shredded after the retention period mentioned under the section “How long do we store it?”
In KOMIT, our database, your basic personal data and social security number will be stored for a longer period. If you wish to have this information deleted, you can contact us, and we will delete your data.
For long courses, if you are not admitted, all your data will be deleted.
If you are admitted, a printed copy will be kept as described above, and all digital data will then be deleted.
When you finish as a student, your sensitive personal data will be shredded.
Basic personal data such as name, address, and date of birth will be used for student lists and stored so we can provide proof that you attended the school, as required by Section 15(5) of the Folk High School Act. This information will not be deleted unless you contact us. It is stored in the school’s locked archive, which only essential staff can access.
